Privacy Policy

Controller: Inactra (privacy@inactra.com). This policy explains what personal data we collect, why, and your rights under UK GDPR.

What we collect

  • Identity and contact details (name, email address, phone number)
  • Profile and business details (business name, addresses)
  • Shift and invoice data (dates, times, amounts, notes)
  • Bank details (sort code and account number) used solely to display payment instructions on invoices — not used to process payments
  • Approximate device location, collected when you clock in or out of a shift and to display local weather on your home screen
  • Push notification tokens, used to send shift reminders and updates
  • Subscription and billing status (plan type, renewal status), managed by RevenueCat on behalf of Apple App Store or Google Play
  • Basic device and usage data (device type, operating system, app version), collected automatically by Firebase for service reliability

Why we collect it

Lawful basis: contract performance — UK GDPR Article 6(1)(b)

  • To provide the app: manage shifts, create invoices, handle contractor invitations, and send notifications
  • To record attendance: location at clock-in/out is stored with the shift record
  • To show local weather on your home screen (approximate location is sent to Open-Meteo and is not stored by us)
  • To manage your subscription: billing status is synced via RevenueCat

Third-party services

  • Firebase / Google Cloud — authentication, database (Firestore), server-side functions, and push notifications. Data may be processed outside the UK under Google's standard contractual clauses.
  • RevenueCat — subscription management. Processes billing events from the App Store and Google Play on our behalf.
  • Apple App Store / Google Play — payment processing for subscriptions. Subject to Apple's and Google's own privacy policies.
  • Open-Meteo — open-source weather API. Receives your approximate coordinates to return a weather forecast. No personal data is stored by Open-Meteo.

Security

  • Bank details are encrypted at rest and masked in the UI where possible.
  • All data is transmitted over HTTPS/TLS.
  • Access to your data is controlled by Firebase Security Rules tied to your authenticated account.

Retention

  • Invoice-related records are kept for up to 7 years to meet legal and accounting obligations.
  • All other data is retained only as long as your account is active or as needed to provide the service.
  • When you delete your account, your personal data is anonymised or deleted and your Sign in with Apple authorisation is revoked.

Children

Inactra is intended for business users aged 18 and over. We do not knowingly collect personal data from anyone under 18.

Your rights

  • You can request access to, correction of, or deletion of your personal data at any time.
  • You can request restriction of processing or object to processing in certain circumstances.
  • You have the right to data portability.
  • To delete your account and all associated data, use the “Delete account” option in app Settings.
  • You have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

Terms and Conditions

  • The app helps business owners and contractors manage shifts and create invoices.
  • You must be 18 or over and provide accurate information. You are responsible for keeping your account credentials secure.
  • The app does not process payments. If you provide bank details, we use them to display payment instructions on invoices so the payer can pay you outside the app (for example, by bank transfer).
  • Subscriptions are billed through the App Store or Google Play. You can cancel at any time via your device's subscription settings.
  • We may update these Terms. If changes are material, we will notify you and may ask you to review and accept the updated Terms before continuing to use the app.
  • The service is provided “as is”. To the extent permitted by law, we are not liable for losses arising from your use of the app, including missed payments or disputes between users.
